Please ensure that your passport is valid for at least three months beyond our travel dates (August 2025). If your passport expires within this timeframe, you may be denied entry into Mexico. To avoid any issues, please renew your passport as soon as possible. Standard passport processing in the U.S. takes approximately 12-18 weeks, barring any delays.
Do I need a Visa to enter Mexico?
Please utilize Sherpa to determine if you will need a visa to enter Mexico, or reach out to the Moniker team for further information.
If I need a Visa, will I be reimbursed for the cost of it?
Equativ will reimburse visa-related expenses, including costs associated with obtaining your visa (e.g., travel to an embassy). Please retain all receipts and submit them through the internal expense platform for reimbursement.
Can I reimburse my passport fees?
Passport fees and passport shipping fees arereimbursable. Please ensure that your passport is valid within 3+ months of your planned departure date and defer to your local passport office for official regulations on expiration dates.

What will I need to book myself?
All flights must be booked through Corporate Traveller. Guests have been assigned to specific groups, and you will be notified when it’s your turn to book via the “Introduction to Corporate Traveller” email from the Moniker Team.

How will we get from the airport to the hotel? Do we need to book our transportation?
Transportation to and from the Cancun International Airport will be provided for those arriving on May 12th and departing on May 15th. If you are traveling on these dates, please do not book your own transport.

What do I need to bring to check-in besides my passport?
A credit card is not required to be kept on file with the hotel. However, if you make purchases outside of the all-inclusive package, such as spa services or premium selections, payment will be required at the time of purchase.
For added convenience, you may also visit the front desk to link a credit card to your room.
Is the resort all-inclusive? What does this cover?
The all-inclusive package at Hilton Cancun, an All-Inclusive Resort, offers guests a seamless and luxurious experience with access to 12 diverse dining venues, including five specialty restaurants and three bars, serving daily breakfast, lunch, dinner, and snacks. Unlimited domestic drinks and select international beverages are included, along with a stocked in-room minibar refreshed daily. The resort features two outdoor pools, a health club, and a spa for relaxation and wellness. Additionally, all taxes and gratuities are covered in the package for a stress-free stay.
While the all-inclusive offering is extensive, certain premium selections, motorized water sports, off-site excursions, and spa treatments may be available at an additional cost. Any costs incurred will be charged to your personal card on file with the hotel and will not be eligible for reimbursement. Any charges put on Airbase or Brex cards will be flagged.
What additional travel costs are covered by Equativ?
Equativ will cover the following travel-related expenses for all attending team members during the official event dates (May 12th to May 15th), unless otherwise specified.
✅ What’s Covered: - Public transportation (train, bus, taxi, Uber, etc.) from your home to the airport. Please keep your receipt(s) and submit for reimbursement via your internal expensing platform - One (1) piece of checked luggage - Transportation between the Cancun International Airport and the hotel on May 12th (arrival) and May 15th (departure). More information regarding airport transfers will be shared with you soon!
⚠️ Important Notes: - If you are arriving before May 12th or departing after May 15th, you will be responsible for arranging and covering your own transportation between the airport and the hotel. You can submit your expenses for reimbursement via the internal expensing platform. - Additional personal expenses, meals outside the all-inclusive package, or any transportation beyond the santioned events will not be reimbursed.
Yes! Each teammate will have their own room unless you have been contacted for Room Sharing.
Will there be other guests at the hotel?
While we have secured the majority of the hotel, please note that this is not a full buyout, so there will be other guests on-site during our stay.
Can I bring my significant other or any guests to our offsite?
Significant others and additional guests are not permitted during the company-wide offsite. The hotel strictly enforces a policy that only registered guests are allowed on the property.
If I’d like to vacation at the hotel after our offsite with guest(s), am I allowed to do so?
Guests can join you from Friday onwards if you want to extend your stay. You can denote this in the registration form for the event. This will be paid for out of your pocket, but at the discounted rate we have negotiated with the hotel. We will let you know what this rate is as soon as we have it.
If I am flying from a farther location, can I arrive a day earlier to alleviate missed offsite time due to travel?
Long-haul guests with 18+ hours of transit time are approved to arrive on Sunday, May 11th. Accommodation has been arranged for those who qualify. All long-haul arrivals must be pre-approved by the Equativ and Moniker team.
How do I indicate any ADA Accommodation needs?
We will have ADA accommodations available for anyone who needs additional support. Please note your needs (ie: preference for a lower-level room) in our registration form for the event.
Will there be an internet connection everywhere at the offsite?
Yes, there is free wifi all around the hotel. The one spotty location for wifi is by the pool, so we recommend checking the strength of the connection before working from there.
Can I request a room near someone else?
We are not taking requests, but rest assured that all the rooms are brand new and comfortable. You can list on our registration form if you require an ADA Accommodation or ground-level room due to accessibility.
Does the hotel supply plug adapters?
The hotel does not have additional adapters. Please remember to bring your own!
I’ll be arriving earlier than the standard check-in time (4PM), would it be possible to arrange an early check-in?
Check-in at the Hilton Cancun is at 4 PM. While we’ll do our best to accommodate early arrivals, please note that early check-in is subject to availability and cannot be guaranteed. The hotel is happy to store your luggage so you can explore the property and enjoy the facilities.
Showers and changing rooms are also available if you’d like to freshen up. As soon as your room is ready, the team will be sure to notify you!
I’ll be departing after the standard check-out time (12PM), would it be possible to arrange a late check-out?
Check-out at the Hilton Cancun is at 12 PM. Late check-out is available until 5 PM for a $50 USD fee. If you’d like to request a late check-out, please coordinate directly with the Front Desk.
Please note that any costs associated with a late check-out will not be covered by Equativ.

What can I expect in terms of weather at this time of year?
Historically, the average temperatures in the month of May average around highs of 91°F (33°C) / lows of 75°F (24°C). During May it is also common to see some rainy showers and cooler temperatures at night.
What type of plug adapter will I need for Mexico?
For Mexico there are two associated plug types, types A and B. Plug type A is the plug which has two flat parallel pins and plug type B is the plug which has two flat parallel pins and a grounding pin. Mexico operates on a 127V supply voltage and 60H. Please ensure you have an adapter that suits these requirements.
Can I use my cell phone in Mexico?
Please note that any costs related to international roaming or acquiring an e-SIM will not be covered by Equativ.
If your phone has international roaming, you can use it during your time in Mexico. Otherwise, a local SIM card can easily be purchased at the airport upon arrival. Please keep in mind that roaming charges may apply.

What should I wear to the evening events?
